Salary c£35,000 – £45,000 dep on experience + excellent benefits package 

My client provides professional independent trusteeship and associated governance services to a wide range of occupational pension schemes. They are one of the largest Professional Trustee firms in the UK with a strong market reputation for delivering excellent outcomes for their clients.  They now have an exciting new opportunity for an individual with:

  • A basic knowledge of UK occupational pension schemes (DB, DC, or Hybrid), and Pension Scheme Secretarial experience.
  • The ability and willingness to develop their existing skills and knowledge to lead on secretarial appointments.
  • Good communication and stakeholder management skills
  • Presentation skills
  • Ability to prioritise, organise and carry out tasks within deadlines.
  • A motivated, self-starter

 

Main purpose of the role

  • Take the lead role on an allocation of clients appropriate to size and complexity.
  • Provide support to the lead Secretaries on the larger and more complex clients, acting as a second point of contact to the Trustees and key stakeholders.
  • Support the efficient and timely delivery of services to clients on schemes where appointed as Scheme Secretary, monitoring actions and service levels.
  • Represent the Company and the Secretarial team at Trustee meetings, client review meetings, and any other client related meetings, on schemes where appointed as Scheme Secretary.
  • Act as cover and point of contact on all schemes and client related projects on the Secretarial and Support team.

 

Key tasks in undertaking scheme Secretarial duties for a portfolio of client schemes:

  • Co-ordination of Trustee meetings and subcommittees including venue arrangements and attendees.
  • Preparation and timely dispatch of meeting packs for Trustee meetings and sub-committees, including liaison with the Chair and other key stakeholders.
  • Attendance at Trustee meetings and sub-committees, including taking the minutes and producing and managing an Action Log.
  • Support the maintenance of all key Trustee and Scheme related documents, including (but not limited to): Annual Business Plan; Risk Register, Annual Report & Accounts, scheme budgets; Business Continuity Plans; IDRP policy; Trustee training registers.
  • Support compliance with all regulatory and statutory regulations, including (but not limited to); completion and submission of the annual Scheme Return to the Pensions Regulator; payment of PPF Levies; ICO (data protection) registration.
  • Support the lead scheme secretary / assist with client related projects, including (but not limited to): MNT/D nomination and selection exercises; production and dispatch of Trustee Newsletters: review of advisers.
  • Support the lead scheme secretary with billing and time recording on designated schemes in-line with Company billing requirements and deadlines
  • Support the lead scheme secretary to monitor and review the SSEA mailbox and Sharepoint directory to maintain an understanding of scheme governance.
  • Support the lead scheme secretary to complete reporting of risk and compliance documents (including Annual Governance Statements) for portfolio of secretarial appointments.
